Find Expiring and Expired Licenses in Easy Digital Downloads with AI

Get the licenses that expire in the next 30 days or lapsed in the last 30, with who owns them and whether they are still in use.

Difficulty Beginner
Time ~5 min

Prerequisites

A connected site running Easy Digital Downloads 3.7.1 or newer with Software Licensing 3.9.8 or newer, on WordPress 6.9 or newer. Read only, so AI write access can stay off.

The prompt
I run my store on Easy Digital Downloads with Software Licensing. Use the Software Licensing and Easy Digital Downloads abilities, read only, to build a renewal report. Do not change or send anything. First, find every license that expires between today and [30] days from today. Second, find every license that expired in the last [30] days, going by the expiration date rather than the stored status. Page through the results until you have all of them. For each license, look up the customer and show the product, the customer's name and email, the expiration date, and how many sites the license is activated on. Leave the license keys out. Then group them into still in use (one or more active sites) and not in use (no active sites), each sorted by expiration date. End with the totals for each group, and tell me which three customers look most worth a personal renewal email and why.

Renewals are where a software store's revenue comes back every year, and the easiest renewal to lose is the one nobody noticed. The license expires quietly, the customer keeps running the old version, and by the time anyone looks the moment has passed. The list of who is up for renewal is already in the store, but getting it means filtering licenses, then looking up each customer by hand.

The AI reads it through Software Licensing's own abilities, read only: licenses that expire in the window you pick, licenses that lapsed recently, and for each one the product, the customer, and how many sites it is active on. It sorts them into people still using the product, who are your best renewal prospects, and licenses with no active sites. Nothing is changed and nothing is sent.

Paste the prompt and pick your windows. Use the list for personal renewal emails, or to check that your automatic renewal notices are going to the right people. A license is only marked expired by the store's daily check, so one that lapsed today can still show as active; the prompt tells the AI to go by the expiration date instead. License keys stay out of the report.

Outcome

You have a sorted list of upcoming and recent expirations, split by whether the customer is still using the product, with nothing changed in the store.
