Find Your Top Donors and Draft Thank-You Notes with AI

Get your top donors for any period with their giving history, and a personal thank-you drafted for each one that mentions what they actually gave to.

Difficulty Beginner
Time ~10 min

Prerequisites

A connected site running Charitable 1.8.18 or newer on WordPress 6.9 or newer, connected as a user who is allowed to view donor contact details in Charitable.

The prompt
I use Charitable on my WordPress site. Find my top [number, for example: 5] donors for [dates, for example: July 1 to September 20] and help me thank them. Use the Charitable abilities, and only read-only ones: do not create or change anything, and do not send any email. Get the top donors for those dates. For each one, read their giving history so you know how many gifts they have made, their total, their most recent gift, and which campaigns they gave to. Show me a table of donor, total for the period, number of gifts, first-time or returning, and campaigns supported. Then draft a thank-you note for each donor, under 120 words, from me, [your name and role]. Name the campaign they gave to, acknowledge returning donors as returning, and mention this about what their support made possible: [one or two facts, for example: the coat drive has outfitted 140 children so far]. Do not state gift amounts in the notes unless I ask, do not invent details about the donor, and do not ask for another gift. Remind me that this output contains personal data and that I send the notes myself.

Run the “Find Your Top Donors and Draft Thank-You Notes with AI” recipe from the WPVibe cookbook on my connected site.

A personal thank-you is the cheapest, most effective thing in fundraising, and it is the first thing to slip. Doing it well means knowing who gave the most, what they gave to, and whether this was their first gift or their fifth. That is three screens per donor. So the generic receipt goes out, the personal note does not, and the donor who gave two thousand dollars hears the same thing as everyone else.

The AI asks Charitable for your top donors over the dates you choose, then reads each one's giving history: every gift, the date, and the campaign. It drafts a short note per donor that names the campaign they supported and tells a returning donor apart from a first-time one. Charitable guards donor data carefully here: donor lists never include contact details, and the full record for one donor is only returned to a user with permission to see sensitive data. The AI sends nothing. It writes drafts and you send them.

Paste the prompt with your dates and how many donors you want. Keep the number small, five or ten, because a note is only personal if you read it before it goes out. Add a line about what the money made possible and the drafts get much better. Treat the output as private: it is a list of names and gift amounts, so do not paste it into a shared channel.

Outcome

A short list of your top donors with their history, and a thank-you note for each, drafted for you to edit and send yourself.
